St. Andrew’s Vestry Meeting

Mary Medeiros, George Miller, Ginger Quarles, Louise Rogers, Erica Scattergood,
Rev. Joyce Scherer-Hoock
Absent: Sue Hildreth, Lorraine Leonard, Marianne Welton
Discussion Items
- Welcomed Joyce as Rector and Ginger Quarles who
is filling the empty Vestry position until Annual Meeting
- Joyce will be performing a marriage
ceremony on February 6th
- Joyce and Lynn Ferrillo have been working
on the Sunday bulletin which has gotten good feed-back
- Al Colburn has agreed to paint Joyce’s
office (as a contribution to the church) – thanks, Al.
- The Bishop’s visit has been cancelled
for Dec. 6th
- Joyce’s institution will be held on
Jan. 9th by Arthur Wamsley
- This Sunday will be a “Children’s
Sunday” with no Sunday School and Advent wreath making after each service
(with coffee hour in the Parish Hall)
- This is the last Sunday of the
Stewardship drive; it was decided that we would not have parishioners
bring their pledges up to the front of the church as we did last year
- We will use the time between this
Sunday and Dec. 6th as wrap-up time to make follow-up phone
calls for the Stewardship Campaign
- Two questions on the Treasurer’s
Report: Why did we budget $21,000
in contributions last year and where is the Music Fund money showing?
- We will need to put together a budget
in the coming weeks
- Dick distributed a draft of a revised
Restricted/Memorial Gift Policy to be voted on at the next meeting
- The commission reporting procedure was
discussed and will be continued to be discussed at the Dec. 6th
leadership meeting that will be held at Dick and Carolyn’s house. One possibility would be to continue
with written quarterly reports but to encourage any commission to bring
information before the Vestry at any time.
Another (and not mutually exclusive) idea would be to highlight a
couple of commissions each month in the X-Press.
- All commission chairs and co-chairs,
as well as the Vestry, will be asked attend the leadership meeting on Dec.
6th
- Leslie Harrower and Erica Scattergood
have taken over as co-chairs of the X-Press
- Dick asked for authorization to
investigate ACH and alternative payroll providers
- The meeting time was changed to 7 PM
Motions
- Unanimously approved the 10/20/09 meeting minutes
- Unanimously approved the expenditure
of $3,297.50 for the purchase of a Jet-Tech Model F18-DP commercial
dishwasher from Gillette Restaurant Equipment located in N. Brookfield (motion made by Erica and seconded by
George)
- Unanimously approved the expenditure
of $2200 to install the dishwasher (motion made by George and seconded by
Erica). If the expenditure is over
$2200, a vote can be taken by e-mail.
- Unanimously approved the expenditure
of $1500 to enlist the services of a realtor in order to rent the Rectory
- Unanimously approved the Treasurer’s
Report
- Unanimously accepted the $5,145 given
to the MacKillop Music Fund as a restricted fund (Dick Dabrowski &
Carolyn Smith’s letter accepted) (motion made by Mary and seconded by Al)
- Unanimously accepted the motion to
appoint Judy Veno, Mary Medeiros and John Ferrillo to the Nominating
Committee (along with the wardens and priest as per our by-laws)
- Unanimously accepted the motion made
by Ginger and seconded by Al to spend up to $200 for motion sensor lights
for the outside of the Parish Hall.
If the expenditure is over $200, a vote can be taken by e-mail.
- Unanimously accepted the motion made
by George and seconded by Mary to approve a parsonage allowance for Joyce
in the amount of $30,000.
- Unanimously accepted the motion giving
authorization to Joyce and Linda to become signers on the discretionary
fund account
- Unanimously approved the signatory
card on the checking account at Sovereign Bank (Dick Dabrowski and Lorraine Leonard are signers)
- Unanimously approved the signatory
card on the investment accounts at Fidelity (Al Colburn, Lorraine Leonard and John Ferrillo are signers)
