St. Andrew’s Vestry Meeting

August 11, 2009

Present:  Kyle Bertulli, Dick Dabrowski, Linda Kaferle, Fr. Alan MacKillop, Mary Medeiros, George Miller, Louise Rogers, Erica Scattergood, Phil Welton

Absent:  Al Colburn, Sue Hildreth, Don Ulsch, Marianne Welton

 

I.                   Opening Devotion & Prayer

 

II.                Priest-in-Charge Report (Fr. Alan)

A.     Climate Change Presentation

1.      To be given by Faith Salter in the Parish Hall on September 22nd

a.      All parishioners will be encouraged to come to this important talk

B.     Pastoral Care concerns

1.      Fr. Alan would like to increase the number of Lay Eucharistic Ministers

a.      Fr. Alan takes out the majority of communions with John Ferrillo’s help

b.      Training is given by the diocese (subsequently determined that there will be training offered on October 17th)

c.       Fr. Alan has approached Nancy Barringer to see if she has interest in this area since Nancy visits many of our shut-ins already

2.      There is a need for pastoral care in the form of cards, flowers, visits, and telephone calls

a.      The new priest may be instrumental in broadening the Pastoral Care Commission to encompass all of the above

C.     Fr. Alan’s Vacation

1.      He and Erica will be going to San Diego tomorrow and will miss the next two Sundays

a.      Phil Welton will be the worship leader on 8/13

b.      Fr. Bill Gannon will be the supply priest on 8/20

2.      He and Erica will be going on a two-week vacation to Italy starting October 13 and will ask Fr. Gannon to be the supply priest for two Sundays

D.    Parish Hall Cross

1.      Fr. Alan has made arrangements with Lindsey Mullan, who made the original cross (which has since broken) given in memory of a parishioner, to make a new one out of metal

 

III.             7/21/09 Meeting Minutes Approved as Presented

 

IV.              Wardens’ Report (Dick and Linda)

A.     Sunday School will be moving from the Rectory back to the downstairs classrooms in the Parish Hall

1.      Sunday School registration scheduled for 9/13

2.      First day of Sunday School scheduled for 9/20 (subsequently changed to 9/27)

3.      Yvette will be asked for a punchlist of items that need to be completed before the move can take place

B.     The Nursery will be moved out of the Rectory at a later date

1.      Date and place (Parish Hall, Snuggery) will be determined by the number of infants and children up to 4 years of age that require care

2.      We are looking for a mature teenager or adult to help Caelen in the Nursery

a.      This is a paid position

C.     Linda distributed dates for Safe Church Training and asked Vestry members who have not attended yet to choose one that fits their schedule

1.      October 3rd, St. Bartholomew’s Church, Central Square, Cambridge

2.      October 17th, St. Paul’s Church, Natick

3.      October 24th, St. Paul’s Church, Brookline

4.      November 14th, St. Jame’s Church, Porter Square, Cambridge

 

V.                 Treasurer’s Report (prepared by Lorraine Leonard; presented by Phil Welton)

A.     Phil has moved the church’s checkbook from Sue Hildreth’s home to the church office so that Lorraine Leonard, acting as Assistant Treasurer in Sue’s absence, has access to it

B.     The bank statements (with the exception of the March statement which is missing) have been returned to the office

1.      ACTION ITEM:  Phil to change the address for the statements from his and Marianne’s address to the church office

C.     Sue still has the pledge deposit information (May, June, July) that is needed to produce the quarterly pledge statements

1.      ACTION ITEM:  Phil to contact Sue about retrieving

D.    We currently have a year-to-date deficit of $3900 plus $4000 in Outreach payments that do not show being paid, as yet, on the financial statement

 

 

 

 

 

VI.              Search Committee Update (Mary)

A.     Teams of Search Committee members have been visiting and will continue to visit prospective priests over the next couple of Sundays

B.     A Search Committee meeting is scheduled for August 24th to discuss all the visits

 

VII.           Commission Reports

A.     Membership

1.      Had a successful booth at the Ayer 4th of July and raised $500

2.      Grotonfest is scheduled for Oct. 3

a.      The Otts are organizing the St. Andrew’s booth

3.      Harvard Flea Market is scheduled for Oct. 10

a.      Linda Kaferle (along with Carolyn Smith) is organizing

B.     Communication

1.      Unable to meet last Sunday as scheduled due to scheduled Search Committee visits

a.      Linda asked Mary if she would be responsible for informing the newspapers about service time changes and Sunday School registration

C.     Altar Guild

1.      Members planning to visit the Fitchburg Art Museum where Lynn Ferrillo’s weaving took 1st prize

 

VIII.        Old Business

A.     Andrews’ Memorial Gift

1.      Kyle explained the work that is needed for the organ

2.      The Vestry thinks Priscilla and Jack would be happy to have their memorial money used to enhance the music program at St. Andrew’s       

a.      ACTION ITEM:  Kyle to get a quote from Andover Organ for the work he feels is necessary

b.      Kyle asked that if there is money left over could he start a music fund to purchase choral music

i.                    There is $500 budgeted for music/soloist

ii.                  The Vestry gave Kyle the go-ahead to put together a proposal

B.     Two signature check policy implementation

1.      Fidelity Investments

a.      ACTION ITEM:  Al Colburn to look into the proper procedure

2.      Bank Accounts

a.      ACTION ITEM:  Marianne Welton to look into how the two signature policy would be handled at  North Middlesex and Middlesex Bank since Sovereign Bank will not police it for us

IX.              New Business

A.     Stewardship

1.      Dick is working on getting a commitment from a very competent parishioner to be the Stewardship Chair as well as looking for a Co-Chair to share the load
